Compliance and Risk Management Associate

Department: Administration
Location: Roxbury, MA

The Compliance and Risk Management Associate supports the organization’s compliance, privacy, and risk management functions by coordinating and documenting patient grievances, incident reports, and compliance inquiries. This position assists in conducting low-risk investigations, managing documentation across compliance platforms, and ensuring effective communication and escalation to appropriate individuals. The role also provides administrative and logistical support for key compliance and risk-related committees, maintains the compliance hotline, and performs low-risk audits to support regulatory readiness.

Essential Duties and Responsibilities
1. Patient Grievances
• Retrieve patient grievance submissions from designated mailboxes and electronic inboxes.
• Document grievances and escalate to the appropriate individuals for review and resolution.
• Track, monitor, and follow up on grievance status to ensure timely response.
2. Incident Reports & Investigations
• Review and document low-risk incident reports and investigations.
• Escalate moderate- to high-risk incident reports to the Senior Compliance Specialist and Risk Manager and Associate Chief Compliance & Enterprise Risk Officer for further action.
3. Inbox & Communication Management
• Monitor the Patient Grievances inbox and Compliance inbox, delegating incoming matters to appropriate individuals.
• Review compliance-related questions, provide guidance when within scope, or escalate to the appropriate individual(s) for response.
4. Committee & Meeting Support
Prepare and organize meeting materials for:
• Compliance and Risk Committee (Board level)
• Compliance and Risk Management Committee (Management level)
• Assist in meeting scheduling and coordination.
• Assist in agenda creation, material compilation, and follow-up documentation.
5. Audits & Monitoring
• Conduct and document low-risk compliance audits as assigned.
• Maintain and update compliance monitoring logs in ComplyTrack.
6. Compliance Hotline
• Manage the Compliance Hotline, including intake, documentation, and escalation of concerns.
7. Document & Records Management
Maintain compliance-related documentation in the Symplr platform, including but not limited to:
• Policies and procedure
• Contracts and agreements
• Licenses and certificates
• General compliance files
• Ensure proper version control and archival of documents.
Additional duties, special projects, and assignments may be required as needed to support the goals of the Compliance & Risk Management Department.

Qualifications
1. Education & Experience
• Bachelor’s degree required; preference for a degree in Healthcare Administration, Business, or a related field.
• Juris Doctor or Master’s degree in Healthcare Administration or Compliance preferred.
• Ideally, 1–2 years of experience in compliance, risk management, healthcare administration, or a related area.
2. Skills & Competencies
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Ability to handle confidential information with discretion.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Experience with compliance management platforms (e.g., Symplr) preferred.
• Detail-oriented with the ability to track and follow up on multiple priorities.

Work Environment
This position operates in a professional office environment with routine use of standard office equipment.

Salary:

The target salary range is $83k-$85k per year.
